1. About this policy
This policy describes how Canus Technologies Pty Ltd ("Canus", "we", "our", "us") collects, holds, uses, discloses and protects personal information. It applies to the website at canus.io, to communications you send us at research@canus.io, and to any other interactions you have with Canus.
Canus is committed to handling personal information in accordance with the Australian Privacy Act 1988 (Cth) and the 13 Australian Privacy Principles (APPs). Where you are located outside Australia, we also have regard to relevant data protection laws applicable to you, including the EU and UK General Data Protection Regulations (GDPR) and the California Consumer Privacy Act / California Privacy Rights Act (CCPA / CPRA).
By visiting canus.io or contacting Canus, you acknowledge the practices described in this policy.
2. Who we are
Canus Technologies Pty Ltd is an Australian-incorporated company building independent verification infrastructure for AI compute on the electricity grid. Canus operates as a closed working group and engages with regulators, infrastructure operators, lenders, and research collaborators on a limited and selective basis.
For the purposes of this policy, Canus is the entity responsible for personal information collected through canus.io and through direct correspondence with the company.
3. The kinds of personal information we collect
The personal information Canus collects is limited to what is necessary for the company's research, regulatory, and institutional engagement activities. The categories of personal information we may collect include:

Contact details you choose to provide, including name, email address, organisation, role, and any information contained in messages you send to research@canus.io or through any form on canus.io.

Engagement and correspondence records, including the content of communications, the date and time of contact, and any follow-up correspondence.

Technical information automatically collected by our website hosting and analytics infrastructure, including internet protocol (IP) address, browser type and version, device type, operating system, referring URL, pages viewed, and date and time of access.

Cookies and similar technologies as described in section 8 below.
Canus does not knowingly collect sensitive information (as defined by the Privacy Act 1988) and does not solicit such information in any form on canus.io.
4. How we collect personal information
We collect personal information directly from you when you:

send an email to research@canus.io or to any other Canus email address;

complete a contact or enquiry form on canus.io;

subscribe to any Canus communication channel that we may offer;

attend a meeting, workshop, or call with Canus, including via videoconference;

correspond with Canus in connection with a regulatory submission, working-group activity, or institutional engagement.
We also collect technical information automatically through the operation of canus.io as described in section 8.
Where we receive personal information about you from a third party (for example, where you are introduced to us by a mutual contact), we will, where practicable, take reasonable steps to inform you of the matters listed in APP 5.
5. Purposes for which we use personal information
Canus uses personal information only for purposes consistent with the operation of its research and engagement programme. These purposes include:

responding to enquiries and managing correspondence with you;

coordinating regulatory engagement, including with the Australian Energy Market Commission and other relevant authorities;

managing working-group communications, research collaboration, and non-disclosure obligations;

understanding how canus.io is used and improving the website's content and accessibility;

maintaining records consistent with our legal, regulatory, and corporate governance obligations;

enforcing our rights and protecting Canus's legitimate interests, including the protection of intellectual property and confidential information.
We do not use personal information for direct marketing without your prior consent. We do not sell personal information to third parties.
6. Disclosure of personal information
Canus discloses personal information only where necessary and only to the following categories of recipients:

Service providers and processors acting on our behalf, including our website hosting provider (Wix.com Ltd), email and productivity providers, and professional advisors (legal, accounting, intellectual-property counsel), in each case bound by confidentiality and data-handling obligations.

Regulators and authorities where disclosure is required by law, regulation, court order, or other lawful authority, or where disclosure is appropriate in connection with a regulatory submission to which the information relates.

Counterparties under non-disclosure, where you have engaged with Canus in connection with a working-group activity, pilot dialogue, or commercial discussion conducted under a written confidentiality framework.

Successors and assigns, in connection with a corporate transaction, financing, or restructure involving Canus, subject to appropriate confidentiality protections.\
Canus will not otherwise disclose your personal information without your consent.
7. Overseas disclosure
Canus uses service providers located in jurisdictions outside Australia. In particular:

Website hosting: canus.io is hosted on the Wix platform, operated by Wix.com Ltd, which processes data in Israel, the United States, the European Union, and other jurisdictions.

Email and productivity: Canus may use email, document, and productivity providers headquartered in the United States and the European Union.
When personal information is disclosed to a recipient outside Australia, Canus takes reasonable steps to ensure that the recipient does not breach the Australian Privacy Principles in relation to that information, including through contractual protections and reliance on each provider's published privacy and security practices.
8. Cookies and analytics
canus.io uses cookies. These include:

Essential cookies required for the operation of the website (for example, session management and security);

Functional cookies that remember user preferences and improve usability;

Analytics cookies that collect aggregate information about how visitors interact with canus.io, including pages viewed, time on page, and referring source.
You can control cookies through your browser settings. Disabling cookies may affect the functionality of canus.io.
9. Security
Canus takes reasonable steps to protect the personal information we hold from misuse, interference, loss, unauthorised access, modification, and disclosure. These steps include access controls, encrypted transmission of data in transit (HTTPS), restricted internal access on a need-to-know basis, and contractual obligations on service providers.
No method of data transmission or storage is entirely secure. While Canus applies industry-appropriate safeguards, we cannot guarantee absolute security of personal information transmitted to or from canus.io.
10. Data retention
Canus retains personal information only for as long as is necessary for the purposes for which it was collected and to comply with our legal and regulatory obligations. Where personal information is no longer required, we take reasonable steps to securely destroy or de-identify it.
Correspondence relating to regulatory submissions, intellectual property, and working-group engagement may be retained for the longer of (a) the period required by law and (b) the period reasonably necessary to support those activities and any consequential dispute, proceeding, or audit.
11. Access to and correction of personal information
You have a right to request access to the personal information Canus holds about you and to request correction of any information that is inaccurate, out-of-date, incomplete, irrelevant, or misleading.
Requests should be made in writing to research@canus.io. Canus will respond within a reasonable period and, where access is granted, will provide the information in a form that is reasonable and practicable. In limited circumstances, Canus may decline a request for access or correction in accordance with the Australian Privacy Principles and will explain the reason for any such refusal.
12. Rights of individuals outside Australia
If you are located in the European Union, the United Kingdom, or another jurisdiction with applicable data protection laws, you may have additional rights in respect of your personal information. These may include the rights of access, rectification, erasure, restriction of processing, objection to processing, and data portability, subject to the conditions and limitations of the applicable law.

13. Complaints
If you believe Canus has handled your personal information in a manner that is inconsistent with the Australian Privacy Principles or this policy, you may lodge a complaint by writing to research@canus.io with the subject line "Privacy Complaint". We will acknowledge receipt of your complaint and respond within a reasonable period.
If you are not satisfied with our response, you may refer your complaint to the Office of the Australian Information Commissioner (OAIC):

14. Children's privacy
canus.io and Canus's services are not directed to children under the age of 18. Canus does not knowingly collect personal information from children. If you become aware that a child has provided personal information to Canus, please contact us at research@canus.io and we will take appropriate steps to delete that information.
15. Changes to this policy
Canus may update this policy from time to time to reflect changes in our practices, in applicable law, or in the operation of canus.io. The current version of the policy is always available on canus.io, and the "Last updated" date at the top of this policy indicates when it was most recently revised. Material changes will be brought to your attention by appropriate means.
